Data cleanup

Data Cleanup gathers the records that tend to drift in any parish database and puts them on one page. Nothing on this page changes by itself. Every row opens the record where you can decide what to do, and the counts fall as you work through them.

Navigate to Admin Dashboard → People → Data Cleanup. The sidebar badge shows how many records are waiting across the quick checks.

The checks

Some of these are not errors. Sacramentum allows a person to exist without a household, and a requester may legitimately have no Person record while a checkout is still being resolved. Treat the lists as review candidates, not as a to-do list that has to reach zero.

Reviewing duplicate candidates

Choosing Duplicate candidates shows the same pairs and clusters as the People duplicates view, with a search box to narrow the list.

  • Review merge on a pair opens Are these the same person?, which places the two records side by side and highlights the fields that differ. Answer Yes, same person to choose which record stays and resolve any differing fields, No, different people to flag the pair so it stops appearing, or Not sure to leave it for later.
  • Review merge on a cluster of three or more records opens the cluster wizard, which still asks you to type MERGE before it runs.

The merge only runs against the preview you reviewed. If either record changes while the screen is open, Sacramentum refreshes the preview and asks you to look again instead of merging.

Tips

  • Work from the top of the list down: identity review items and duplicate candidates usually explain the other checks.
  • Adding an unassigned person to a household from this page uses the same household picker as the Directory, and the change is recorded in that person's History section.
  • Archiving an empty household keeps its records and removes it from active lists. You can find it again with the Archived filter in the Directory.
